DrugRx User Guide
Everything you need to run your clinic — from your first login to printing a discharge card. Click any topic in the sidebar to jump directly to it.
Getting Started
What DrugRx is and how to set it up on your computer.
DrugRx is a desktop app for managing your clinic — patients, OPD visits, prescriptions, lab tests, billing, and IPD admissions. Your data is saved on your own computer, so the app works even without internet. When you go online, it syncs to the cloud for backup.
Login & PIN
Each staff member has their own username and a 4-digit PIN — like an ATM PIN. The admin creates accounts in Settings → Users.
- 1 Open DrugRx on your computer.
- 2 Type your username and 4-digit PIN.
- 3 Press Enter or click Login. You're in.
App Interface
The app has three main areas you'll use every day:
- Left Sidebar — Main navigation. Switch between OPD, IPD, Billing, and Settings. Your profile and logout are at the bottom.
- Tab Bar (top) — Each open patient shows as a tab, like browser tabs. Work on multiple patients without closing any.
- Secondary Sidebar — When a patient is open, a second sidebar shows their sub-sections: Complaints, Prescription, Lab, Diagnosis, Advice, Billing.
Works Without Internet
DrugRx stores all data on your computer. You can add patients, write prescriptions, admit IPD patients, and print — all without any internet connection.
Patients
Your master patient list — everyone who has ever visited your clinic.
The OPD section shows your patient list on the left. Every patient you add is saved permanently. Open any patient to see all their past visits, prescriptions, and history.
Adding a New Patient
- 1 Click + New Patient at the top of the patient list.
- 2 Fill in the patient's name, age, and gender. These three are required.
- 3 Optionally add mobile number, UHID, insurance details, and address.
- 4 Click Save. The patient appears in the list immediately.
Searching Patients
Type in the search box at the top of the patient list. You can search by name (partial works — "Raj" finds "Rajesh"), mobile number, or UHID.
OPD
Manage your daily outpatient queue and visits.
The OPD section shows today's patient queue. Each patient in the queue has a token number and a status: Waiting, In Consultation, or Completed.
Starting an OPD Visit
- 1 Find the patient in the list (or add them as new).
- 2 Click Start Visit or + OPD on their row.
- 3 The patient's tab opens with all sub-sections: Complaints, Prescription, Lab, Diagnosis, Advice, Billing.
- 4 Work through each section. Everything saves automatically — no Save button needed.
- 5 When done, click Complete Visit or print the prescription.
Complaints Tab
Record the patient's chief complaints — what they came for.
- Type to search complaints — select from your frequently-used list or type a custom one.
- Star a complaint to mark it as a favourite — it appears first next time.
- Add duration (e.g., "since 2 days") next to each complaint.
- Add a free-text history note in the box below.
Prescription Tab
Write your prescription with medicines, doses, and instructions.
- 1 Click + Add Medicine or start typing a medicine name in the search bar.
- 2 Select from the dropdown — brand name and generic name both shown.
- 3 Fill in dose, route, frequency (e.g., 1-0-1), duration, and timing (before/after food).
- 4 Add more medicines the same way. Drag the handle on the left to reorder.
- 5 Click Print to print the prescription.
Lab / Investigations Tab
Order lab tests for the patient.
- Search for tests by name — e.g., "CBC", "LFT", "Urine R/M".
- Tests are grouped by category (Haematology, Biochemistry, etc.).
- Star a test to add it to your favourites for quick access.
- Tests print on the prescription if enabled in print settings.
Diagnosis Tab
Record the patient's diagnosis with ICD-11 codes.
- Click a disease group chip (e.g., Diabetes, Hypertension) to quickly add common diagnoses.
- Or type in the search box to find any disease by name.
- Each diagnosis can be marked as Provisional or Final.
- ICD-11 codes appear automatically.
Advice & Follow-up Tab
Give discharge advice and set a follow-up date.
- Pick from pre-set advice items (Rest, Avoid spicy food, Drink fluids…) or type custom advice.
- Set a follow-up date — auto-creates an appointment entry.
- Advice and follow-up date are printed on the prescription slip.
Visit Templates
Save a complete visit (complaints + medicines + advice) as a template for cases you see repeatedly — like Viral Fever, UTI, or Hypertension follow-up.
- 1 Fill in a visit normally for a typical case.
- 2 Go to the Templates sub-tab in the visit sidebar.
- 3 Click Save as Template and give it a name (e.g., "Viral Fever Standard").
- 4 Next time, click Load Template in a new visit to fill everything in one click.
IPD (Indoor Patients)
Manage admitted patients, their rooms, service billing, and discharge cards.
The IPD section shows all currently admitted patients, grouped by ward. Each patient card shows their name, IPD number, admission date, room, and attending doctor.
Admitting a Patient
- 1 Click + Admit Patient in the IPD section.
- 2 Search for or create the patient.
- 3 Select the ward, room/bed, admission date, and attending doctor.
- 4 Add an initial diagnosis if known.
- 5 Click Admit. The patient appears on the IPD board.
Rooms & Wards
Rooms are organised by ward categories (e.g., First Floor, ICU, NICU, Special Ward). Manage them in Settings → IPD → Rooms.
- Create categories to group related rooms.
- Add individual beds inside each category.
- Hide a bed to stop it appearing in the admission form.
- Drag categories to reorder how they appear on the IPD board.
Discharge Card
The discharge card is a medical summary given to the patient when they leave. Open a patient on the IPD board and click Discharge Card.
The card has a left sidebar with all sections. Click any section to fill it in. Everything saves automatically.

When done, click Print & Mark Given. This prints the card and marks it as "Card Given" on the patient record.
IPD Section Templates
For sections you fill the same way for many patients — like standard post-op instructions — you can save and reuse templates per section.
- 1 Fill in any discharge card section.
- 2 Click Save as Template in the section title bar.
- 3 Give it a name (e.g., "Post Appendectomy Advice").
- 4 Later, click Load Template to fill that section instantly.
IPD Service Bill
Track all charges during the patient's stay — room charges, procedures, medicines, doctor visits.
- 1 Open the patient on the IPD board and click Service Bill.
- 2 Click + Add Item and select a service from your catalog.
- 3 Add quantity and rate. Items are grouped by category.
- 4 Record advance payments using + Add Transaction.
- 5 At discharge, click Generate Bill to create a final bill summary.
Billing
OPD billing, collections, bill book, and receipts.
The Billing section has four sub-pages:
- OPD Billing — Add service charges to a specific OPD visit. Consultation fee, procedure charges, linked to the visit date and doctor.
- Collections — See outstanding dues across all patients. Record payments and mark them as collected.
- Bill Book — A sequential register of all bills generated. Useful for audits and end-of-day reconciliation.
- Receipts — Print a payment receipt for the patient. Auto-numbered, with clinic header and doctor name.
Settings
Configure your clinic, staff, services, and preferences.
Clinic & Doctor Info
Go to Settings → Clinic Settings. This is what appears on your printed prescriptions and receipts.
- Clinic Name — appears at the top of every printout.
- Doctor Name & Qualifications — shown under the clinic name.
- Contact & Address — printed on receipts and discharge cards.
- Clinic Logo — uploaded from your computer, appears in the letterhead.
- Doctor Signature — a scanned image printed on prescriptions.
- Paper Size — choose A4, A5, or custom to match your stationery.
Staff & Roles
Go to Settings → Users. The admin creates accounts for all clinic staff.

- 1 Click + Add User.
- 2 Enter the staff name, username, and select their role.
- 3 Set an initial 4-digit PIN. The staff member can log in immediately.
My Services
Go to Settings → My Services. Add all the services your clinic charges for — consultation, procedures, investigations, room charges. When billing a patient, you pick from this list. Prices are pre-filled and can always be overridden per bill.
My Medicines
Go to Settings → My Medicines. DrugRx has a built-in database of 80,000+ medicines. Add your own custom medicines that aren't in the standard list — they appear first in prescription search results.
Prescription Templates
Go to Settings → Prescription Templates. Save common prescription combinations for quick reuse — e.g., a "Fever Protocol" with Paracetamol + ORS + Vitamin C. Load it in any visit to fill instantly.
Lab Templates
Go to Settings → Lab Templates. Save groups of investigations you order together frequently — e.g., "Annual Health Checkup Panel" (CBC + LFT + KFT + Lipid Profile + HbA1c). Load in one click.
IPD Configuration
Go to Settings → IPD. Two sub-sections:
- Rooms — Add ward categories and beds. Drag to reorder. Hide rooms not currently in use.
- Discharge Card — Choose which of the 10 discharge sections are visible and in what order. Each doctor can configure their own view — drag to reorder, toggle the eye icon to hide.
Plan & Usage
Go to Settings → Plan & Usage. See your current subscription plan, how many visits and patients you've used this month, and when your plan renews.
Cloud Sync
How your data backs up to the cloud and what happens when you go offline.
DrugRx uses a "sync when ready" model. Your data is always saved on your computer first. When internet is available, the app syncs changes to the cloud automatically.
LAN Mode — Multi-Device Clinic
Use DrugRx on multiple computers in your clinic at the same time — without needing internet.
If your clinic has more than one computer — doctor's room plus reception desk, for example — you can run DrugRx on all of them and share the same data in real time over your local WiFi network.
One computer is the admin computer (the main one where the database lives). All other computers connect to it over WiFi and see the same data instantly.
How to Set Up LAN
- 1 Log in as Admin. The LAN server starts automatically when Admin logs in.
- 2 Make sure all computers are on the same WiFi network (or connected by LAN cable).
- 3 Keep the admin computer on and the app open during clinic hours.
- 1 Open DrugRx. It automatically detects the admin computer on the network.
- 2 Enter your username and PIN. Login works the same way.
- 3 You're connected. Changes on any computer appear on all others immediately.
Print & PDF
Print prescriptions, receipts, and discharge cards on any printer.
You can print from almost every module. DrugRx opens your Windows print dialog so you can choose any connected printer.
- Prescription — Click Print in the Prescription tab. Includes medicines, lab orders, diagnosis, advice, and follow-up.
- Discharge Card — Click Print & Mark Given in the discharge card. Prints all filled sections with clinic header.
- Receipt — Click Print Receipt in the Billing section. Auto-numbered payment receipt.
- Save as PDF — On the print dialog, choose Save as PDF to save a digital copy to your computer.
Letterhead & Print Setup
Go to Settings → Clinic Settings to configure your printout appearance.
